Windshield Glass Replacement Policy

Purpose

 This policy outlines the procedures and conditions for replacing a vehicle's windshield glass to ensure safety, compliance, and cost-effectiveness. 

Scope

 This policy applies to all company-owned, leased, or personal vehicles (if applicable) requiring windshield replacement due to damage, wear, or safety concerns. 

Policy Guidelines

 

1. Eligibility for Replacement

A windshield replacement is required if:

  • The crack or chip impairs the driver’s visibility.
  • The damage is larger than a quarter or extends across multiple areas.
  • The structural integrity of the windshield is compromised.
  • The damage violates local or federal vehicle safety regulations.

2. Approval Processes

  • Employees must report windshield damage to the fleet manager or supervisor immediately.
  • A professional inspection will determine if repair or full replacement is necessary.
  • For company-owned or leased vehicles, approval from the designated authority (e.g., fleet manager, insurance provider) is required before proceeding with replacement.

3. Vendor Selection & Quality Standards

  • Windshield replacements must be performed by an approved vendor or certified auto glass service provider.
  • Only Original Equipment Manufacturer (OEM) or equivalent glass should be used.
  • The replacement must comply with all safety regulations and standards (e.g., FMVSS 205, AGRSS).

4. Post-Replacement Inspection & Safety Measures

  • If covered under warranty or insurance, the company/driver must follow claim procedures.
  • If not covered, cost-sharing or full payment responsibility will be determined based on the cause of damage (e.g., accident, negligence, natural causes).
  • Employees may be liable for costs if damage results from misuse or negligence.

5. Compliance & Accountability

  • Failure to report or replace a damaged windshield in a timely manner may result in disciplinary action.
  • All replacements must align with applicable transportation and safety regulations.
